How to create a photo evidence report

    1. Add your photos: take them with your phone's camera or choose existing ones. 2. Put them in order and write a short caption for each; add a date where it matters. 3. Fill in the report details you need, such as a title, reference number and address, and choose 1, 2 or 4 photos per page. 4. Check every page in the preview. 5. Create the PDF and download it.

Optional tools let you draw red rectangles, ellipses and arrows to point at damage, hide private details, add a watermark, and create a SHA-256 manifest of your original files.

How should I photograph property damage?

Take a wide shot first so the location is clear, for example the whole wall or the whole side of the car, then close-ups of the damage itself. Place a ruler, tape measure or a familiar object such as a coin next to the damage to show its size.

Use daylight or bright, even light, hold the phone steady and tap to focus, and retake blurry photos straight away. Keep the original files unchanged and back them up: the report contains processed copies, not the originals.

What should I write in a photo caption?

Say where the photo was taken and what it shows: “Bedroom, wall next to the window: crack about 40 cm long, running from the window corner to the ceiling.” Mention measurements, the direction you were facing, and anything that is not obvious from the photo.

Describe what you observed rather than conclusions you cannot support. “Water stain on the ceiling, about 30 × 50 cm” is more useful than “damage caused by the neighbour's leaking pipe”, unless that cause has been confirmed.

Can I use this report for insurance?

Many insurers, landlords and contractors accept a PDF of photos with captions, and a clear, numbered report makes a claim easier to follow. Requirements vary, though: some insurers want their own claim form, original photo files, or photos taken in their app.

Check with your insurer or the recipient before sending, and keep the original photos in case they are requested.

How can I reduce the PDF file size?

Choose a maximum size such as 5 MB. The tool lowers the photo quality and, if needed, the resolution, and measures the real size of the finished PDF each time. It does not go below about 110 DPI, because details then become hard to see; if the limit cannot be met, it tells you the actual size.

Fewer photos, 2 or 4 photos per page, or the “Compact” quality also make the file smaller. To shrink single images instead, use the Image Compressor.

    Should I remove GPS metadata?

Phone photos often contain the exact GPS position, the phone model and the time they were taken. Removing this protects your privacy when the report is shared, and this tool always removes it from the exported photos.

If the location or time matters, write it in the caption or report details, where it appears as ordinary text. If a recipient needs the original metadata, send the original files separately. The Metadata Remover shows what your photos contain.

    How are photos numbered?

Photos are numbered 1, 2, 3… in the order of your list. When you move or delete a photo, the numbers update automatically, and each photo keeps its caption, date and marks.

Page numbers such as “Page 2 of 8” count every page, including the overview page and any continuation pages for long captions.

    Are my photos uploaded?

No. Your photos are opened, edited and turned into a PDF in your browser on your device. Photos, captions, addresses and report details are not sent to our server or to any other service, and none of it is included in analytics.

The page itself and its font load from our website as usual; after that, everything happens locally.

Can I use this on iPhone and Android?

Yes, in a current mobile browser. “Take photo” opens the camera where the browser supports it, and “Choose photos” picks existing photos, including iPhone HEIC photos. Reorder photos with the handle or with the Move up and Move down buttons.

Thirty large photos take longer to process on a phone than on a computer, and very old devices may run out of memory; the tool then shows an error and keeps your work so you can try fewer photos.

Does this report prove the photos are authentic?

No. The report organises photos; it does not certify when, where or by whom they were taken, and it does not establish a chain of custody. Camera dates come from the photo file and can be wrong or changed.

The optional SHA-256 manifest records a fingerprint of each original file. It can later show that an original file is unchanged, but not when or where the photo was taken.

    FAQ

    Questions about photo evidence reports

How many photos can a report have?

Up to 30 photos per report, in JPG, PNG, WebP or HEIC format, each up to 50 MB. For more photos, create several reports, for example one per room.

What happens to very long captions?

Nothing is cut off. The photo shrinks a little to make room, and if the caption still does not fit, it continues on the next page under “caption (continued)”. With 4 photos per page the tool warns you when this happens.

Can I hide faces or licence plates?

Yes. Use “Mark & hide” on a photo and choose solid hiding or pixelation. The hidden area is replaced in the exported photo itself, not covered by a removable layer. For sensitive details, solid hiding is safer than pixelation.

Does the PDF include my original photos?

No. The PDF contains processed copies at print resolution, without camera or location metadata. Your original files are never embedded, so keep them separately.

    Is my report sent anywhere?

No. The report is created in your browser and downloaded directly to your device. Nothing about your photos or report appears in analytics.
